Set up product specification templates

Use a product specification template to classify an item as raw material, semi-product, packaging item, or an end product. However, first, you must create a template.

The topics in this section elaborate on the setup required to create a product specification template.

Define the product specification setup

Use the Product Specification Setup page to define the product specification version number, calculation base, unit of measure, meat percentage limits such as collagen and fat allowed in the product.

  1. Select the Search icon , enter Product Specification Setup and then choose the related link.
    The Product Specification Setup page opens.
  2. On the General FastTab, fill in the fields described in the following table:

    Some of the fields have default values when the configuration package is imported. Note that there is a configuration package available with the basic setup up, such as allergens which can be used, but it is also possible to create your own setup.

    Product spec. Base UOMSelect the base unit of measure (UOM) to use in the product specification calculation. Kilogram (KG) is the preferred UOM used for product specification. Note that using a single unit of measure prevents incorrect calculations. Assign the unit of measure to each raw material, semi-product, and end product. When you create a new product specification, the application checks if the unit-of-measure conversion exists for the currently-selected item.
    Product Specification Report IDShows the product specification report ID that prints in the report
    Use Active BOM VersionTurn the Use Active BOM Version button on to use the active version of the BOM for the product specification calculation. If you turn off the button, the application uses the standard BOM for the product specification calculation.
    QUID% Label Printing PrecisionEnter how you want the system to round off the QUID percentage for raw materials, semi products, and end products when printing them on labels.
    This field is set to 0.00 by default.
    Variant Error HandlingSelect whether the system should notify you when a variant in the Bill of Materials (BOMs) is not defined in the product specifications. The available options are:
    • Error: The system notifies you if the variant in the BOMs does not match any defined product specific variant.
    • Skip: The system skips the variant mismatch and continues calculating product specifications using the available item-level specification on the following pages:
      • Product Specifications Raw Materials
      • Product Specification Raw Materials
      • Product Specifications Packaging
      • Product Specification Packaging
      • Product Specifications Semi Products
      • Product Specification Semi Products
      • Product Specifications End Products
      • Product Specification End Product Card

    The fields on the Numbering FastTab show the default number series if pre-defined. You can change these values using the edit (pencil) icon on the top of the page.
    On the Limits FastTab, the values in the fields show the maximum limit for the meat percentage, such as fat or collagen in pork, red meats and poultry that is allowed to be present in the products. Set the limits based on the food law that governs your region.

  3. In the code related fields including Lim. Fat% Pork Code, Lim. Fat% Poultry Code, select the item code that should be used in the product specification calculation to measure the fat or the collagen percentages.

    If the meat percentage for an item exceeds the limits defined here, then the related item code is listed as an ingredient in the product specification declaration.
    When you execute the Calculate Food Declaration action on a product specification, the system validates the limit percentage fields only if values are configured on the Product Specification Setup page.

    • If the Lim. Fat% Pork field has a value on the Product Specification Setup page, the system validates that the limit is specified for the product specification.
    • If the Lim. Fat% Pork field is left blank on the Product Specification Setup page, the system skips this validation.

    This conditional validation applies to the following product specification types:

    • End products
    • Semi-finished products
    • Packaging
    • Raw materials

The fields on the Limits FastTab are compulsory values. You must enter the limits before calculating the product specification, even if you are working with non-meat-related products like cookies.

Define product specification groups

You can group the related fields together in a product specification template and display them in the product specification report.

For example, create groups, such as Shape, Certification, Organoleptic, or Microbiological Standards. Later, fields like Smell, Flavor, and Color can be grouped under the Organoleptic group in the product specification template for raw materials.
The following procedure describes how to perform this activity.

  1. Select the Search icon , enter Product Specification Groups and then choose the related link.
    The Product Specification Groups page opens.
  2. Select New.
  3. In the Code field, enter the code for the product specification group. For example, enter "Organoleptic".
  4. In the Description field, enter a brief description for the group code. For example, enter "Organoleptic characteristics".
  5. In the Report Position field, mention the position at which the group must be placed when printing the product specification report or the label.
  6. To set up translations for a group code in the customer’s language or another language, select Related > Group > Translations on the action bar and select the language code with appropriate text in the description to print in the product specification.

Define product specification options

Define options for the product specification fields of type Option. You must assign the fields to the product specification template to later display them in the product specification report.

Example: For the product specification field "Taste", create options like "Sweet", "Bitter", "Sour", or "Fruity". Later, you can use these options on the Product Specification Fields page in the Option Code field.

  1. Select the Search icon ,enter Product Specification Options and then choose the related link.
    The Product Specification Options page opens.
  2. Select New.
  3. On the Options FastTab, in the Code field, enter the code for a list of options, for example "Taste". The list of options is shown in the Option Code field when you specify a field of field type Option on the Product Specification Fields page.
  4. In the Description field, enter a brief description of the code.
  5. On the Values FastTab, in the Option Value field, enter the option value, for example, "Sweet" could be an option value for the option "Taste".
  6. In the Option Number field, enter the position at which the option value must appear in the option list.
  7. To set up translations for an option code in the customer’s language or another language, select Option Value > Translations in the action bar and select the language code with appropriate text in the description to print in the product specification.

Define product specification fields

Set up fields on the Product Specification Fields page to assign to the product specification template and to later display them in the product specification report.

  1. Select the Search icon , enter Product Specification Fields and then choose the related link.
    The Product Specification Fields page opens.
  2. Select New.
  3. In the Code field, enter a code for the field to use in the product specification template. Create fields to display in the product specification like the length, size, smell, flavor, or color of the product.
  4. In the Description field, enter a brief description of the field.
  5. In the Field Type, select from the following options to create values for the fields:
    • Decimal: Select Decimal to create decimal values for a field to display in the product specification. For example, for the code "length", select the Decimal field type to create values for length in decimal numbers.
    • Option: select Option to create values for the field. For example, for the code color, a field that represents the product property, select the field type Option to create options like "Red", "Blue", "Green" or "Yellow".
    • Text: Select Text to display specified text for the product in the product specification.
    • Date: Select Date to display date in the product specification.
  6. In the Rounding Precision field, enter the precision to which the decimal value must be rounded for a product property, like length, when displayed in the product specification. The Rounding Precision field is applicable only when the field type is Decimal.

For example, if the rounding precision for the "length" field is "1", then "2.4 cm" is rounded to "2 cm" in the product specification.

Similarly, if the rounding precision is "0.1", then "2.4 cm" is retained at "2.4 cm" in the product specification.

  1. In the Option Code field, select the related option code. Example: For the "color" code, choose option "Red".
    You can select an option code only if the options are already created on the Product Specification Options page. Fill in the Option Code field only when the field type is Option.
  2. Select the Mandatory checkbox when it is compulsory to display the specified field in the product specification.
    When you select the Mandatory checkbox and do not enter a value for the specified field when certifying the product specification, the application shows an error message. Enter the values for all the fields that are made mandatory before certifying the product specification.
  3. To set up translations for a Field code in the customer’s language or another language, select Related > Field > Translations in the action bar and select the language code with appropriate text in the description to print in the product specification.
