INVOIC port options

The INVOIC message is used to claim payment for goods or services supplied according to the agreed conditions between the seller and the buyer. With the correct data qualification, the standard INVOIC message also serves as the basis for debit note and credit note messages.

For the list of available port options for this port, see the EDI Port Options. Some options that require additional explanation are described below. These options apply to both sales invoices and sales credit memos.

General port options

The following port options control how specific pricing, payment, and tax details are exported in the INVOIC message.

Net price only

This port option defines which price types are exported in the INVOIC message.

  • When the option is set to No, all the following available price types are included in the export:
    • Calculation gross
    • Calculation net
    • Invoice price
  • When the option is set to Yes, the message includes only the calculation net price, and all other price types are excluded.

Payment terms time information

This port option defines how the payment discount details are represented in the exported INVOIC message.

  • When the toggle is turned off, the export includes the payment discount due date as an actual date value in the XML.
  • When the toggle is turned on, instead of the due date, the export includes the number of days between the invoice date and the payment discount due date. This allows trading partners to calculate the discount period based on day count rather than a specific date.

Tax excise free

This port option controls whether tax excise free information is included in the INVOIC message header.

  • When the option is set to Yes, the tax excise free value is not included in the header section of the exported message. This is useful when the trading partner does not require or accept excise-free tax details.

Credit Memo – Specific port options

When exporting posted sales credit memos, the message format and values included in the INVOIC export depend on the selected port options and the trading partner’s requirements. The credit note type port option determines which INVOIC message type is used.

Invoice Type

Use the credit note type port option to set the INVOIC message type. The following types are supported:

Credit Note (381)

When 381 is selected, the system exports the data as a standard credit note.

  • The credit memo contains item lines.
  • The exported values are represented as positive entries:
    • Positive quantities
    • Positive unit prices
    • Positive line totals and positive document totals

This format is used when the receiving system requires all credit values to be expressed as positive amounts.

Corrected Invoice (384)

A corrected invoice is always sent when the EDI Price Correction toggle on the sales credit memo is turned on, regardless of the selected message type in the port options.

When this message type is used:

  • The credit memo contains Charge (Item) item type lines instead of standard item lines.
  • The Applies-to Doc. No. field value on the credit memo header is mandatory because the correction must reference the document being adjusted.
  • The exported values reflect the price correction details and include:
    • Negative quantities
    • Positive unit prices
    • Negative line totals and negative document totals

This format is designed specifically for scenarios where only price corrections are being communicated to the trading partner.
