Why
You agreed a loan with a customer and you pay out the loan amount.
As a finance manager, you want to be able to create the pay out journal line from the loan card, and follow up on the entries that are created for that loan, so you can do your work in an efficient way.
How
In the Contract Management Setup, you can define a journal template and a journal batch that the system will use when loan pay out journals are created:
- Select the Search icon
, enter Contract Management Setup and then choose the related link. - On the Contract Management Setup page, on the Loan FastTab, select a template in the Pay Out Journal Template field and a batch in the Pay Out Journal Batch field.
From the loan page, you can create the payout out journal:
- Select the Search icon
, enter Loans and then choose the related link. - On the Loans page, select, or create as New, the loan you want to create a pay out journal for.
- On the Loan page, choose the Create Loan Payout Journal Lines action.
- On the Create Loan Pay Out Journal lines request page, fill in fields as necessary, and choose OK.
- Choose the Loan Pay Back Journal action to open the journal and finish the payment.

Why
As a beverage company, you can have objects (buildings, parts of a building, a kiosk etc.) where you deliver to. Bound and free objects, owned by you or by others. An object can have a renter that is your direct or indirect customer.
As a finance manager, you want to be able to register the agreed rent, additional periodic costs and incidental costs for these objects, so you are able to manage the agreement in an efficient way.
How
With the Rental Agreement card, you manage information about a rent with a customer or vendor. You can specify the details of the agreement and from here you can also drill down on past and ongoing transactions for the rent.
- Select the Search icon
, enter Rental Agreements and then choose the related link. - Choose the New action to create a new entry.
- On the Rental Agreement page, fill in fields on the General FastTab as necessary. Hover over a field to read a short description.
- On the Address & Contact FastTab, you can select a Contract Object that is connected to the rental agreement. It will update the other fields on the FastTab with the information for that object, but you can change them for this rental agreement.
- On the Rent Lines FastTab, you can create lines for recurring amounts by selecting Rent Categories and entering the periodic amount to invoice in the Line Amount field. You can adjust fields for the line as necessary. Hover over a field to read a short description.
- On the Rent Charge Lines FastTab, you can register one-off charges, like a reparation, that you want to charge to the renter. Select a Rent Category and enter the amount to invoice in the Line Amount field. You can adjust fields for the line as necessary. Hover over a field to read a short description.
- On the Purchase Charge Lines FastTab, you can see lines that are created by posting purchase invoices that are charged to this Rental Agreement. You can adjust fields for the line as necessary. Hover over the field to read a short description.

Why
Rent categories define your different rent types. They specify the details for invoicing and posting. When you create lines in rental agreements, you can select such a category and use it as a template for the line.
How
- Select the Search icon

- Fill in fields as necessary. hover over a field to read a short description.
In Aptean Beverage Contract Management, there are three types of Rent Categories:
- Rent: codes with this type are charged periodically, like a monthly rent or quarterly energy advance.
- Rent Charge: codes with this type are one-off charges, like a reparation that you want to invoice to the renter.
- Purchase Charge: codes with this type are one-off charges from purchase invoices that you charged to a rental agreement.

Why
As a beverage company, you help your customers with services. These services can be rental agreements for premises. A part of your service is that you pay invoices, related to rental agreements. But these costs are not always at your expense. The renter should pay them. The full amount, or a percentage of the amount.
As a Finance Manager, you want to be able to register, with a percentage, that a purchase cost has to be charged to a rental agreement, so these costs do not impact our profits and losses and you are assured that they will be included in an invoice to the renter.
How
- Select the Search icon
, enter Purchase Invoices and then choose the related link. - Create a purchase invoice as normal.
- In the Lines FastTab, select a category in Rent Categorie field. Fields that are related to the rent charge will now be shown in the page.
- Select the Rental Agreement where you want to charge the purchase cost to in the Rental Agreement No. field.
- The Charge to Customer % and Charge to Customer Amount fields are by default filled with the value that was setup in the Rent Category, but you can change both fields as necessary in the purchase line.
- Choose the Post action to finish the process:
- An accrual is posted to the general ledger for the amount that is charged to the rental agreement. This posting uses the Rent Accrual Account (Debit) and the Rent Accrual Balance Account (Credit) from the Rent Category.
- A new line is created in the Purchase Charges Lines FastTab of the rental agreement that you selected in the purchase invoice. With the next rent invoice for that agreement, the amount will be charged to the customer.

Setup the Number Series for Rent Invoices
Rent invoices have their own numbering. which makes it possible to recognize them as rent invoices in an easy way:
- Select the Search icon
, enter Contract Management Setup and then choose the related link. - On the Contract Management Setup page, choose number series that you want to use for the unposted and posted invoices in the fields on the Rent FastTab.
Create a Rent Invoice for one Rental Agreement
- Select the Search icon
, enter Rental Agreements and then choose the related link. - Select the Rental Agreement where you want to create an invoice for.
- On the Rental Agreement page, choose the Create Rent Invoices action.
- On the Create Rent Invoices request page, fill in fields as necessary and then choose the OK button to create the invoice.
- This action will create a sales invoice with lines for:
- Rent Lines with the Rental Line Status New or Ready to Invoice and a Next Invoice Starting Date that is before the Invoice to Date on the request page.
- Rent Charge Lines where the Rental Line Status is New.
- Rent Charge Lines where the Rental Line Status is New.
- This action will create one invoice per Customer Posting Group, as set in the rental agreement lines.
Create Rent Invoices in batch (under construction)
- Select the Search icon
, enter Create Rent Invoices and then choose the related link. - On the Create Rent Invoices request page, fill in fields as necessary and then choose OK to create the invoices.
- Sale Invoices and Sales Lines are created per Rental Agreement, according to the same criteria as the invoice creation for one agreement:
- Rent Lines with the Rental Line Status Ready to Invoice and a Next Invoice Starting Date that is before the Invoice to Date on the request page.
- Rent Charge Lines where the Rental Line Status is New.
- Rent Charge Lines where the Rental Line Status is New.
One invoice per combination of Customer and Customer Posting Group.

Why

How

Be sure the Bill-to Customer Sales History fact box is enabled in the list page or card page. View the icons showing the number of documents for Invoices, Credit memos, Pst. Invoices and No. of Pst. Credit memos and drill down to view them.

Why
Companies facilitate outlets with equipment, with refurbishments that are activated through a fixed asset. It is wanted to link the fixed asset to the outlet and report depreciation and other results of the fixed asset on the outlet.
How
Select the Search icon
, enter Fixed Assets and then choose the related link.
On Contract Management FastTab, select
- a customer in field Customer No.
- a salesperson code in field Salesperson (defaulted from the customer)
- an object in field Customer Object No. (filtered by the customer no.)
- a contract in field Customer Contract No.
Notice default dimensions are updated from the customer and salesperson.
View the linked fixed assets in field No. of Fixed Assets on the Customer card, Salesperson/purchaser card, Contract Object card and Contract card.

Why
When you want to charge interests on annuity loans, you can:
- create journal lines where the interest is based on the scheduled interest amounts in the loan lines.
- create periodic loan interest invoices, based on actual loan balances.
Both options are now supported in Drink-IT Contract Management.
How
Scheduled interest amounts
- Select the Search icon
, enter Loans and then choose the related link. - on the Loans page, select a loan or create as new.
- On the Loan page, select the Annuity checkbox.
- In the Interest Invoice Type field, select None.
The journal lines for the interests will be created with the Create Loan Pay Back Journal Lines action on the Loan page, or when you run the Create Loan Pay Back Journal Lines batch job.
Periodic loan interest invoices
- Select the Search icon
, enter Loans and then choose the related link. - on the Loans page, select a loan or create as new.
- On the Loan page, turn on the Annuity toggle.
- In the Interest Invoice Type field, select a period for the periodic loan interest invoice.
The invoices for the interests will be created with the Create Loan Interest Invoices action on the Loan page, or when you run the Create Loan Interest Invoices batch job.

Why
Loan lines represent the schedule for the pay out and the pay backs for a loan. When a pay back schedule is in place, then lines with the Pay Back Status New will be included in the creation of Pay Back Journal Lines, as long as they are within the date range for these batch jobs. Lines where you have set the status to On Hold will never be included in these batches.
In some cases, you probably want to create the loan lines directly with the On Hold status, so are sure they will be skipped in the Create Loan Pay Back Journal Lines batch and the Create Loan

Why
Your loans with customers can be paid back in different ways. You can for instance collect installments with a direct debit, or by periodic bonuses that you agreed with the customer. But you can also have loans that are not paid back at all. In that case, you might want to post periodic depreciations to the loan, like with a fixed asset. Would the contract be ended before the contract end date, the remaining loan balance can become due at once.
As a finance manager, you want to be able to include loans where depreciations to these loans are included in periodic batches, so you can do your work in a correct and efficient way.
How
On the Loan Categories page, you can specify the G/L Account you want the system to post the loan depreciation to:
- Select the Search icon
, enter Loan Categories and then choose the related link. - On the Loan Categories page, select the G/L Account in the Loan Depreciation Account field.
On the loan card, you can setup a loan for scheduled depreciation:
- Select the Search icon
, enter Loans and then choose the related link. - On the Loans page, select, or create as New, the loan you want to setup for scheduled depreciation.
- On the Loan page, in the Pay Back section of the Loan Details FastTab, select Scheduled Depreciation in the Scheduled Pay Back Type field.
From the loan card and loan list, you can create the pay back journal lines.
- Choose the Create Loan Pay Out Journal Lines action from the Loan Card page to create journal lines for a specific loan.
- Choose the Create Loan Pay Out Journal Lines action from the Loans list page to create journal lines for multiple loans.

Why
As a contract responsible, you want to be able to attach documents and files to agreements that are part of contracts, so you can access all relevant information from one point.
How
In Microsoft Dynamics 365 Business Central you can manage attachments, links, and notes on cards and documents. In Drink-IT Contract Management, this functionality is also available. And when documents are attached to a loan, rental agreement or contract object, you can choose to flow that document to the customer contract where it is connected to.
- Select the Search icon
, enter Loans, Rental Agreements or Contract Objects and then choose the related link. - On the relevant list or card page, choose the open details for documents action in the Attachments section of the FactBox.
- On the Attached Document page, select a file as necessary. Select the Flow to Contract field to make the attachment visible on the connected customer contract.
- Choose the Search icon
, enter Customer Contracts and then choose the related link. - Select the contract where your attachment is flowed to. In the Attachments section of the FactBox, you can see the number of documents that are attached to the contract by origin (loan, rental agreement, object or the contract itself). Choose the open details for documents action to view the attachments.

Why
As a contract manager, you want to send loan statements to customers, stating the opening balance, the net changes and the end balance of the capitalized loan entries. For loans with an interest invoice, this document already serves as a statement. But when you also have loans without periodic interest invoices (annuity, loans without interest, loans paid back by periodic discounts...), you want to be able to send a statement to the customer.
How
- Select the Search icon

Why
As a beverage company, you have agreements with your customers. This agreement can be registered in a Drink-IT Contract Management Contract.
Part of such contracts are the sales conditions. They are mentioned in the contract document. As a sales manager, you want to be able to trace the condition rule to the contract.
How
- Select the Search icon
, enter Sales and Purchase Condition Rules and then choose the related link. - On the Sales and Purchase Condition Rules list page, edit, or create as new, the rule you want to connect to a contract.
- On the Sales and Purchase Condition Rule Card page, on the Contract Management FastTab, select the contract in the Contract No. field. You can only select a contract for rules with the Source Type Customer or Vendor.
Once the contract number is selected on the rule:
- New and existing Condition Ledger Entries (Sales and Purchase) will show this value in the Contract No. field.
- The Condition Periodic Settlement Journals will show this value in the Contract No. field.

Why

A possible pay back method for such a loan is pay pack by periodic discounts. As a sales manager, you want to be able to connect a periodic discount rule to a loan, so the settlements for that rule will be applied to the loan amount that was given to the customer.
How
- Select the Search icon
, enter Sales and Purchase Condition Rules and then choose the related link. - On the Sales and Purchase Condition Rules list page, edit, or create as new, the rule you want to connect to a loan.
- On the Sales and Purchase Condition Rule Card page, on the Contract Management FastTab, select the loan in the Loan No. field. You can only select a loan for rules with the Source Type Customer or Vendor.
