Integration with Aptean Quality Control (BC)
When the Aptean Beverage Alcohol Balance extension, Drink-IT Edition, is used in conjunction with the Aptean Quality Control (BC) extension, you can track alcohol percentage as part of your quality control process, as follows:
- You can record the alcohol percentage by lot during goods receipt or production.
- Verify alcohol values with laboratory analysis.
- The system automatically updates lot records with results from quality control checks.
This ensures consistent and accurate lot information without duplicate entry.
For details about how to configure quality control questions, plans, and triggers, see Set up quality control.
Configure item tracking for alcohol strength
Configure the Strength ABV, Strength DPL, and Strength 3 field values on the Item Tracking Code Card page to define how alcohol strength is managed for each lot. You can select one of the following options:
- Variable Strength: The system updates the lot strength automatically based on quality control check results.
- Fixed Strength: The recorded lot strength remains unchanged after quality control check results.
Use the Variable Strength option when you expect the alcohol percentage to change after testing. Use the Fixed Strength option for products with a constant alcohol percentage.
Before posting a quality control check, sufficient inventory must exist.
Configure the action code
The Action Code field value on the Quality Control Questions page determines which alcohol strength value is updated when a quality control check is posted. Select one of the following options:
- Blank: No update occurs.
- Change Strength 1: Updates strength 1 of the alcohol balance.
- Change Strength 2: Updates strength 2 of the alcohol balance.
- Change Strength 3: Updates strength 3 of the alcohol balance.
Alcohol strength can be managed in two different ways, depending on how it is configured on the Item Tracking Code Card page. The following scenarios describe the system behavior and the effect of the Action Code field value.
If the quality control plan includes at least one strength-related action code, the Per Lot checkbox is selected on the Quality Control Triggers page. If the Per Lot checkbox is cleared, the system blocks saving and displays an error message.
Scenario 1: Variable alcohol strength
When you set one or more strength field values to Variable Strength on the Item Tracking Code Card page:
- The system checks the Action Code field value on the Quality Control Question page to define which specific strength value is updated.
- The system automatically updates the alcohol strength on the Lot No. Information Card page when you post a quality control check.
- The update is applied even if the quality control check result is Fail.
Negative values are not allowed in strength-related quality control questions. If entered, the system displays an error and blocks posting.
Scenario 2: Fixed alcohol strength
When you set one or more strength field values to Fixed Strength on the Item Tracking Code Card page:
- The system does not change the alcohol strength on the Lot No. Information Card page, even if the quality control results differ from the recorded strength.
- The Action Code field value configured on the Quality Control Question page has no effect in this case, so the recorded lot value remains unchanged.
- You can still perform quality control checks for validation purposes.
- If a mismatch occurs, the Result field value on the Quality Control Check page displays Fail, but the alcohol strength values in the lot remain fixed.
This setup is intended for items where the alcohol percentage must remain constant.
You can reuse the same location code and document type on the Quality Control Triggers page to create and post multiple quality control checks.
Source document posting requirement
When a quality control check includes alcohol strength-related questions, the system verifies that the related source document line (for example, a purchase order) has been posted before allowing the quality control check to be posted.
If the source document line has not been posted, the quality control check posting is blocked, and the system displays this error message: The Quality Check cannot be posted because it contains a strength-related question, but the source document line has not yet been posted. Please post the source document first to ensure item tracking information is available.
Multiple sample handling
When a quality control check contains multiple sample lines for the same alcohol strength-related question:
- The system uses the first sample line with a valid numeric answer to update the alcohol strength of the lot.
- Additional sample lines are ignored for strength update purposes.
- No error or warning appears as long as one valid sample answer exists.
If the Calculation Method field value is specified on the Quality Control Plan page, the system evaluates all valid numeric sample answers for the alcohol strength question and updates the lot based on the selected method:
- Average: Calculates the average of all valid samples.
- Lowest: Selects the lowest valid sample.
- Highest: Selects the highest valid sample.
- First: Uses the first valid sample.
- Last: Uses the last valid sample.
This functionality works the same way when you have multiple lots assigned to the item on the item tracking lines, ensuring quality control checks are created for each lot individually.
