Alcohol aging adjustment
The alcohol aging adjustment feature helps you account for natural losses that occur during the aging process of alcohol. Instead of manually tracking these reductions, the system automatically posts the losses as negative item adjustments in the journals you define. By configuring the adjustment templates and batches on the Alcohol Balance Setup page, you can ensure that all aging-related reductions are recorded accurately.
Alcohol aging adjustment for items
You can use the Alcohol Aging group on the Alcohol Balance FastTab of the Item Card page to define how alcohol aging adjustments are calculated for each item. You can set the adjustment period, specify custom formulas, and enter the expected loss percentage due to evaporation.
- Open the Item Card page.
- On the Alcohol Balance FastTab, in the Alcohol Aging Adj. Period field, select the period by which the adjustment should be posted. The available options are:
- Blank: No alcohol aging adjustment is applied.
- Month: Calculates the alcohol loss percentage every month.
- Quarter: Calculates the alcohol loss percentage every three months.
- Year: Calculates the alcohol loss percentage every year.
- Custom: Calculates the alcohol loss percentage based on the custom value defined in the Alcohol Aging Adj. Period Formula field.
- In the Alcohol Aging Adj. Period Formula field, enter the custom value [for example, 3D (for days) or 2M (for months)] to specify by which period alcohol aging adjustment is posted when the Custom option is selected in the Alcohol Aging Adj. Period field.
-
In the Alcohol Aging Adj. Loss % field, enter the percentage of loss (0–100) that should be applied for the selected adjustment period. This represents evaporation or natural reduction during the aging process.
This field becomes non-editable only when the Alcohol Aging Adj. Period field value is set to blank.
Track alcohol aging adjustment for lots
The Lot No. Information Card page displays alcohol aging details inherited from the Item Card page. This allows you to monitor and manage how alcohol aging adjustments are applied at the lot level and update the last alcohol aging adjustment date to trigger recalculation of the next adjustment date.
To view and manage alcohol aging details for a lot, follow these steps:
- Open the Lot No. Information List page.
-
Select the required lot number from the list.
The Lot No. Information Card page opens.
On the Alcohol Balance FastTab, in the Alcohol Aging group, you can view the following fields:
Field Description Alcohol Aging Adj. Period Specifies the adjustment period (Month, Quarter, Year, or Custom) defined for the item. Alcohol Aging Adj. Period Formula Specifies the custom formula (for example, 3M for three months) if Custom was selected on the item card. Alcohol Aging Adj. Loss % Specifies the percentage of alcohol loss applied in the defined adjustment period. -
In the Last Alcohol Aging Adj. Date field, select the most recent date (before the system date) on which alcohol evaporation losses were recorded as an adjustment. If a lot does not already have this date, you must enter it manually. For new lots, the system adds the date automatically, and it defaults to the posting date.
-
In the Next Alcohol Aging Adj. Date field, the system automatically calculates the next alcohol aging adjustment date based on the Last Alcohol Aging Adj. Date field value + defined Alcohol Aging Adj. Period field value or the Alcohol Aging Adj. Period Formula field value.
The system automatically updates the adjustment dates, when you run the Alcohol Aging Adjustment report and post the physical inventory or item journals.- The Last Alcohol Aging Adj. Date field value becomes the next alcohol aging adjustment date.
- The Next Alcohol Aging Adj. Date field value is recalculated based on the adjustment period or custom period formula.
For example, if the last adjustment date was 01/09/25 and the next adjustment date was 03/09/25, after posting the journals, the last adjustment date updates to 03/09/25, and the next adjustment date updates to 05/09/25. The time period between the two dates is determined by the adjustment period formula.
You can execute the Alcohol Aging Ledger action to view all alcohol aging adjustments linked to a specific lot.
Alcohol aging adjustment
The Alcohol Aging Adjustment page allows you create and post adjustments for alcohol losses due to aging. The report creates item journal lines in bulk for selected lots based on the adjustment rules defined on the Item Card and Lot Information Card pages. You can run the report manually from several pages or schedule it through the job queue for automated processing.
To run the alcohol aging adjustment report, follow these steps:
-
Open the Alcohol Aging Adjustments page.
You can open the Alcohol Aging Adjustments page from the following pages:- Lot No. Information List (Actions > Alcohol Aging > Run Alcohol Aging Adjustment)
- Lot No. Information Card (Actions > Alcohol Aging > Run Alcohol Aging Adjustment)
- Run automatically using the Job Queue page
-
On the Options FastTab, in the Posting Date Type field, select one of the following options:
- From Lot Next Alcohol Adjustment Date: Specifies that the document is posted based on the next adjustment date from the Lot No. Information Card page.
- Use Manual Date: Specifies that the document is posted based on the manually updated date in the Posting Date field.
-
In the Posting Date field, specify the posting date for the alcohol adjustment.
This field is visible only when the Posting Date Type field value is set as Use Manual Date. - In the Location Code field, select the required location.
- On the Filter: Lot No. Information FastTab, select your filters as needed:
- Lot No.
- Item No.
- Location Code
-
Select OK.
The system checks each lot against the following conditions:
- The Next Alcohol Aging Adj. Date field value on the Lot No. Information Card page is equal to or earlier than the work date.
- The related item has a non-zero alcohol aging loss %.
- The remaining quantity for the lot is greater than zero.
If the lot is eligible, the system completes alcohol aging adjustments.
Post journal lines for aging adjustments
After running the Alcohol Aging Adjustment report, the system completes alcohol aging adjustments by creating an item journal or a physical inventory journal.
Additionally, the system creates physical inventory or item journal lines based on the configuration on the Alcohol Balance Setup page for alcohol adjustments with the following details:
- Quantity (Remaining quantity × alcohol aging loss %).
- Posting Date (Next alcohol aging adjustment date).
- Item No., Location, Lot No., and mandatory journal fields are filled automatically.
- The journal batch is updated from the Alcohol Balance Setup page.
On the Filter list by section, select the Alcohol Aging Adjustment filter set to Yes to display the lines that are part of the alcohol aging process.
If the journal batch contains both alcohol aging adjustment lines and regular lines, the system displays a confirmation message. Select Yes to continue or No to cancel posting and return to the journal so you can separate the lines.
After posting is complete, you can view the related adjustments on the Item Ledger Entries page for the posted journals.
