User Setup
Each user that will access Business Central via a handheld device must be set up as the following:
- Business Central User: a standard user account must be created in Business Central, and permissions must be assigned.
- Warehouse Employee: users are tied to the locations in which they will record activities by being set up as warehouse employees.
- Mobile User: to access Business Central through Aptean Mobile Warehouse Registration, a user must be designated as a mobile user.
Business Central User Setup
Employees accessing Business Central through mobile functionality must be set up as users within the application. Each user is defined on their own card.
Users must also have the following permissions to access the Aptean Mobile Warehouse Registration extension:
- MOBWHSEREGBASICFDW (Mobile Whse Registration Basic)
- MOBWHSEREGFDW (Mobile Whse Registration).
Warehouse Employee Setup
Once a user record has been set up, it can be assigned to one or more warehouse employee records.
A separate warehouse employee record must be set up for each location in which a user will perform activities.
On the Warehouse Employees table, select the Default checkbox for each mobile location of the Warehouse Employee.
Mobile User Setup
Each Business Central user must also be associated to a mobile user record. Mobile user records permit the use of Aptean Mobile Warehouse Registration to send data to and from Business Central. This activity is performed in the Mobile User Setup page.
For each user that will utilize Aptean Mobile Warehouse Registration, a separate line must be entered. To set up a mobile user, fill in the fields as follows:

User ID: Enter or use the AssistButton to select the Business Central user that you want to designate as a mobile user. It is not possible to set up multiple mobile user lines for a single Business Central user record.

Profile Code: Enter or use the AssistButton to select the profile code that you want to assign to the user. When the user logs into Aptean Mobile Warehouse Registration, the setup options that have been defined for the assigned profile will be applied to the mobile session.

Language Code: Enter or use the AssistButton to assign a language code to the mobile user. When the user logs into Aptean Mobile Warehouse Registration, any captions and messages that have been defined in the assigned language code for the relevant mobile profile will be displayed on the handheld device. If a default language code has been assigned on the Mobile Setup page, the user-specific value will override the default. This field can be left blank if you want the user to view text statements according to the default code.
When changing the language code for a user, make sure the user you’re changing the language for doesn’t have the mobile application open anymore. Else, the mobile application will keep the old language in its memory. In case that language must be changed for the mobile user, the following steps should be followed:- Close all mobile application sessions for the user you want to modify the language.
- In the Mobile User Setup page in Business Central, select the user and run the action ‘Clear Mobile Profile’.
- Change the language code for the user.
- The mobile application can be reopened and will now show the text in the just assigned language.
- Short User ID: You must enter an identification name (10 characters) for the assigned user. When a mobile user records item movements within a warehouse, Aptean Mobile Warehouse Registration creates a user-specific bin in which the items are temporarily stored. The entry in the Short User ID field is used in conjunction with the user’s network domain name to create the name of a user’s specific mobile warehouse bin. The 10 character maximum ensures that a bin comprised of the domain name and short user ID will not exceed any character restrictions.
- Active Location Code: Enter or use the AssistButton to assign a location code to the mobile user, if desired. When you login to the Aptean Mobile Warehouse Registration, only documents that share the assigned location will be displayed on the handheld device. It is also possible for mobile users to change this setting directly from Aptean Mobile Warehouse Registration. It is mandatory to select an active location code.
- Active Equipment No.: Enter or use the AssistButton to assign a fixed asset code to the mobile user, if desired. It is possible to link a special equipment code to a fixed asset record. When the user logs into Aptean Mobile Warehouse Registration, only document lines that share the same special equipment code as the user’s assigned fixed asset will be displayed on the handheld device.It is also possible for mobile users to change this setting directly from Aptean Mobile Warehouse Registration. It is mandatory to select an active location code.
There are also a number of options in the Action tab to expedite mobile user setup:
- Upload/Download Profile: These options allow you to download a mobile user’s setup to a location on your computer or network, then upload this data to a new database or company.
- Clear Mobile Profile: It is possible to select a mobile user and then clear its existing settings.
- Copy Profile: It is possible to select a mobile user and then copy the settings from another user to it. This is useful in scenarios where a new user will start working with Aptean Mobile Warehouse Registration, and that user’s setup is identical to that of another user that is already in the system.
The number of Mobile Warehouse users cannot be more than the Quantity of subscriptions in the Subscription Overview page.
