Create negative lines

Negative claims refer to instances where buyers report issues or express dissatisfaction with received goods or services. Addressing these claims promptly and effectively is crucial for enhancing customer satisfaction, building trust, and improving product/service quality. You can address these claims by creating negative lines. With this feature, you can create negative lines for purchase orders and sales orders.

Note

You can create negative lines on sales or purchase orders only if the Enable Negative Line toggle on the Fresh Bridge Setup page is turned on.

The following procedure describes how to perform this activity on purchase orders.

  1. Select the Search icon , enter Purchase Orders, and then choose the related link.
    The Purchase Orders list page opens.
  2. Select the desired No.
    The Purchase Order card page opens.
  3. On the action bar, select Home > Release > Reopen.
    The Status changes from Released to Open.
Note

You cannot create negative lines for orders that have been invoiced.

  1. On the Lines FastTab, select Functions > Create Negative Line.
    The Create Negative Purchase Line page opens.
  2. Fill in the following fields:
FieldDescription
Return Reason CodeSpecifies the code that provides detailed information about the cause of a negative purchase line return.
Claim TypeSpecifies the category or nature of the claim associated with the negative purchase line. On selecting Return: the negative line is created based on the defined item. Credit: the negative line is created based on the item charge.
No.Specifies the item number defined in the associated purchase order. It is inherited from the purchase order. If the Claim Type is configured with Credit, you must select the Item Charge from the dropdown.
Quantity to ReturnSpecifies the quantity of the item to be returned via the negative purchase line.
Direct Unit Cost Excl. VATSpecifies the cost per unit for items defined on the negative purchase line. The value is inherited from the source document.
Note

Ensure that the Direct Unit Cost Excl. VAT and Quantity to Return must not exceed the values specified in the associated source document.

  1. On header of the Create Negative Purchase Line page, select the AssistEdit button, and then select Specify Quantity per Lot.
    The Item Tracking Selection page opens.
    All the relevant lot numbers are displayed.
  2. Select the desired Lot No. and click OK.
  3. Click OK on the Create Negative Purchase Line page.
    The system updates the negative line on the Lines FastTab.

You can also create negative lines performing the above-mentioned steps on the sales order.

Note

If you attempt to create duplicate negative entries for a single record, the system will notify you of the existing entry and request confirmation before proceeding further.
