Assign a sales contract to a sales order

Assigning sales contracts to sales orders streamlines the fulfillment process by aligning sales commitments with specific orders, ensuring accuracy and timely delivery. This integration enhances efficiency, minimizes errors, and fosters better customer relationships through seamless execution of sales agreements.

With this feature, you can assign single or multiple sales contracts to the associated sales orders. The following procedure describes how to perform this activity.

  1. Select the Search icon , enter Sales Orders, and then choose the related link.
    The Sales Orders list page opens.
  2. On the action bar, select New.
    The Sales Order card page opens.
  3. On the General FastTab, enter Customer Name.
  4. On the Lines FastTab, enter Type, No., and Quantity.
    The system displays a dialog box confirming the presence of multiple associated sales contracts.
  5. Click Yes.
    The Sales Lines page opens.
  6. The system updates the Contract No. and Contract Line No. fields based on the value of the Auto Fill Sales Contract Details toggle on the Contract Setup page. If the toggle is turned on, the values get auto-filled for sales order and sales invoice, otherwise, you can select them from the lookup table.

    The Auto Fill Purchase Contract Details toggle value is not applicable for Sales Return Order and Sales Credit Memo pages. Additionally, the Contract Exist checkbox on the Lines FastTab is automatically selected.

  7. On the action bar, select Home > Release > Release.
    The sales order is released.

  • When releasing/posting a sales order without assigning the corresponding sales contract, the system displays a message notifying the presence of the sales contract.
  • The system displays a warning message when the shipping quantity exceeds the contract quantity when releasing a sales order linked to a sales contract and the Exceed Sales Contract Qty. Alert Type field value is set to Warning on the Contract Setup page. For more information, see Set up contract management.
    If the Aptean Over Under Delivery extension is installed and an over-receipt code is set up, the system allows receiving additional quantities, as defined in the over-receipt code. In this case, the system displays an error or a warning message based on the configured alert type when the receiving quantity exceeds the over-receipt allowance.
