What

Deployment of EMCS PHASE 4.0 13th February 2023.

Why On February 13th 2023, the communication with the EMCS platform will be executed according to the "Phase 4.0" standards. The change will happen a "big bang" in all countries at that date. The impact of this change is covered by Drink-IT Customs Document Management and the Drink-IT Customs Document Connector App.

How

Define your moment

It is not necessary to execute any specific action on the "big bang" date. You can set your date and time in advance:

  1. Select the Search icon , enter Customs Document Mgt. Connector Setup and then choose the related link.
  2. On the Customs Document Mgt. Connector Setup page, enter the date and time you want to start PHASE 4.0 in the EMCS PHASE 4 V3.01 Starting Date and EMCS PHASE 4 V3.01 Starting Time fields
  3. The EMCS PHASE field shows your actual version that is in use for the communication.

Setup new requirements

With PHASE 4.0, a new requirement about indicating a maturation period or age is introduced:

“The legal name of a spirit drink shall be indicated in the electronic administrative document. Where a maturation period or age is indicated in the description, presentation or labelling of the spirit drink, it shall also be mentioned in that administrative document.”

If this requirement is applicable to your goods, then you already can set this up. The mention for the requirement is a text:

  1. Select the Search icon , enter Standard Text Codes and then choose the related link.
  2. Choose the New action and create new standard texts as necessary.
  3. Choose the Extended Texts action to open the Extended Text List
  4. Choose New to create a new entry.
  5. On the Extended Text page, select the Language Code for your text, or alternatively, select the All Languages field.
  6. Enter your description in the Lines FastTab.

On the items where this text is applicable, you can select from these standard texts:

  1. Select the Search icon , enter Items and then choose the related link.
  2. On the Items pages, select the item you want to set a standard text for "Maturation Period or Age of Product" for.
  3. On the Item Card page, select your standard text in the Maturation or Age of Product field.
  4. Lines in Customs Documents with this item will show this text in the Maturation Period or Age of Products field. Here, you can still execute changes on the field.

No impact on processes.

The change to PHASE 4.0 has no impact on EMCS processes that are covered by Drink-IT. They can all be executed as in the previous version.

What

Customs Documents on Warehouse Shipments- Link to Sales Shipment and include LRN and ARC to Tax Ledger Entries.

Why

As the excise responsible employee, you want to be able to see from which sales shipment a customs document was created and vice versa, so you are able to trace your messages to EMCS. In the Tax Ledger Entries that are created with the posting of the shipment, you want to see the Local Reference Number and the Administrative Reference Number that identify the excise movement.

How

From Posted Sales Shipment to Customs Document:

  1. Select the Search icon , enter Posted Sales Shipments and then choose the related link.
  2. Open the Posted Sales Shipment you want to find the connected Customs Document for.
  3. Choose the Custom Document Lines action to open the Customs Document Lines page.
  4. On the Customs Document Lines page, choose the Customs Document action to open the document.

From Customs Document (created from Warehouse Shipment) to Posted Sales Shipment

  1. Select the Search icon , enter Customs Documents and then choose the related link.
  2. Open the Customs Document you want to find the connected Sales Shipments for.
  3. Choose the View Sales Shipments action to open the Customs Document Lines page.
  4. On the Posted Sales Shipments page, choose the View action to open the document.

Find the Local Reference Number and the Administrative Reference Number from Posted Sales Shipment:

  1. Select the Search icon , enter Posted Sales Shipments and then choose the related link.
  2. Select the Posted Sales Shipment you want to find the Local Reference Number and the Administrative Reference Number for.
  3. Choose the Find Entries action to open the Find entries page.
  4. Open the Tax Ledger Entries and verify the Local Reference No. and the ARC No. fields.

Error when you process documents the second time

Why

When you tried to process a message, like an IE815 on customs document that was already sent, you received an unclear error message. This is changed. The system will not tell you: The EMCS Status is Accepted (IE801). The document is already processed. Reset the status to New if you want to process it again.
